Who We Are

EmailExacto is a product of BusinesSource, LLC ("we," "us," "our"). This policy describes how we collect, use, and protect your information when you use our website at emailexacto.com and our services at emailexacto.net.

Information We Collect

We collect the following types of information:

• Account Information: When you sign up for a paid plan, we collect your email address, domain name, and payment information (processed securely by Stripe — we never see or store your full card number).
• Newsletter Subscription: When you subscribe to our free newsletter, we collect your email address, IP address, and browser user agent for double opt-in verification and delivery.
• Contact Form: When you submit our contact form, we collect your name, email address, company, domain, and message content.
• DNS & Deliverability Data: When you use our DNS Check tool or monitoring services, we query publicly available DNS records for domains you provide. This is public information accessible to anyone.
• Usage Analytics: We use Google Analytics (GA4) to collect anonymized usage data including pages visited, time on site, and general geographic region. No personally identifiable information is sent to Google.
• DMARC Reports: If you configure your domain to send DMARC aggregate reports to our platform, we receive and process those XML reports to generate deliverability insights for your dashboard.

How We Use Your Information

We use collected information to:

• Provide, maintain, and improve our services
• Send weekly newsletter training emails (if subscribed)
• Send engagement training emails (if enrolled in a paid plan)
• Process payments and manage your subscription
• Respond to your contact form inquiries
• Generate deliverability scores and reports for your domains
• Monitor service health and prevent abuse

Email Communications

We send email only with your explicit consent. Our free newsletter uses double opt-in — you must confirm your subscription before receiving any emails. Every email we send includes a one-click unsubscribe link compliant with Google and Yahoo bulk sender requirements. Unsubscribe requests are processed immediately.

Data Sharing

We do not sell, rent, or share your personal information with third parties for marketing purposes. We share data only with:

• Stripe: For payment processing (governed by Stripe's Privacy Policy)
• Amazon Web Services (SES): For email delivery
• Cloudflare: For DNS, CDN, and DDoS protection
• Google Analytics: For anonymized site usage data

Data Retention

We retain your account and subscription data for as long as your account is active. Newsletter subscriber records are retained until you unsubscribe. DMARC aggregate reports are deleted within 24 hours of processing. Contact form submissions are retained for 12 months. You may request deletion of your data at any time by emailing support@businessource.com.

Data Security

All data is encrypted in transit using TLS 1.2+. Our infrastructure is hosted on dedicated servers with SSH key-only access, Docker container isolation, and regular security audits. Payment data is handled entirely by Stripe and never touches our servers.

Cookies

We use minimal cookies. Google Analytics sets first-party cookies for session tracking. Cloudflare may set cookies for security and performance. We do not use advertising cookies or third-party tracking pixels.

Your Rights

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Unsubscribe from any email communications at any time
• Withdraw consent for data processing

Children's Privacy

Our services are not directed to individuals under 16. We do not knowingly collect information from children. If we learn that we have collected data from a child under 16, we will delete it promptly.

International Users

Our servers are located in the United States. If you access our services from outside the US, your information will be transferred to and processed in the US. By using our services, you consent to this transfer.

Terms of Use

Acceptance of Terms

By accessing or using EmailExacto (emailexacto.com and emailexacto.net), you agree to be bound by these Terms of Use. If you do not agree, do not use our services.

Service Description

EmailExacto provides email deliverability monitoring, DNS authentication analysis, inbox placement testing, email engagement training, and a free weekly newsletter on email best practices. Services are provided "as is" and may be modified or discontinued at any time.

Accounts & Access

Paid services are accessed via a secure token-based manage link — no password is required. You are responsible for keeping your manage link confidential. Free newsletter subscriptions are managed via tokenized unsubscribe links in each email.

Acceptable Use

You agree not to:

• Use our services to send spam or unsolicited email
• Attempt to access other users' data or accounts
• Interfere with or disrupt our infrastructure
• Use automated tools to scrape or crawl our platform beyond normal usage
• Violate any applicable law or regulation in connection with your use of our services
• Reverse engineer, decompile, or attempt to extract the source code of our platform

Payment & Billing

Paid subscriptions are billed monthly or annually through Stripe. Prices are listed in US dollars. You may upgrade, downgrade, or cancel at any time from your manage page. Cancellations take effect at the end of the current billing period. Refunds are handled on a case-by-case basis — contact support@businessource.com.

Intellectual Property

All content on EmailExacto — including text, graphics, logos, training materials, email content, and software — is the property of BusinesSource, LLC and is protected by copyright. Newsletter and training content is licensed for your personal or internal business use only. You may not redistribute, resell, or republish our content without written permission.

Disclaimer of Warranties

Our services are provided "as is" and "as available" without warranties of any kind, express or implied. We do not guarantee that our services will be uninterrupted, error-free, or that deliverability scores will produce specific results. Email deliverability depends on many factors outside our control.

Limitation of Liability

To the maximum extent permitted by law, BusinesSource, LLC shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of our services, including but not limited to lost revenue, lost emails, or reputation damage. Our total liability for any claim shall not exceed the amount you paid us in the 12 months preceding the claim.

Indemnification

You agree to indemnify and hold harmless BusinesSource, LLC from any claims, damages, or expenses arising from your use of our services or violation of these terms.

Termination

We may suspend or terminate your access to our services at any time for violation of these terms or for any other reason at our discretion. Upon termination, your right to use the services ceases immediately.

Governing Law

These terms are governed by the laws of the State of Tennessee, United States, without regard to conflict of law principles.

Changes to These Terms

We may update this Privacy Policy and Terms of Use from time to time. Changes will be posted on this page with an updated "Last Updated" date. Continued use of our services after changes constitutes acceptance of the revised terms.
